Hardware / practical steps

Get shipping labels printing cleanly

A troubleshooting sequence for label size, scaling, media, drivers and scan quality.

STEP 01

Start with the document and stock size

Record the label file’s intended dimensions, the loaded media width and the printer model. Select a matching paper size in the application and driver. Changing a printer setting cannot repair a label file that was generated in the wrong layout.

STEP 02

Remove scaling surprises

Print one test at the intended size and inspect whether edges or barcodes are clipped. Check for fit-to-page, browser margins and automatic rotation. Measure the output rather than judging it only by the preview. Keep the working settings with your packing instructions.

STEP 03

Separate media from device problems

Confirm the device supports the installed media and printing method. Follow the manufacturer’s loading and calibration instructions. Inspect the print path as directed by the manual; do not improvise cleaning fluids or bypass moving-part protections.

STEP 04

Verify the receiving workflow

Scan the finished label using the equipment used at dispatch. Confirm tracking and order identifiers agree with the source record. Test repeated jobs and a power cycle before relying on the setup for a busy packing shift.

Choose the right next step

  • Blank label: check compatible media and printing method before changing the design.
  • Clipped label: investigate document size, driver size and scaling separately.
  • Readable text but failed scan: inspect barcode size, contrast and the scanner’s expected format.

Worked example

A label looks correct on screen but prints across two labels. The operator checks the source dimensions, selects matching media and disables browser scaling. A single measured print and a successful scan establish the working setup before the batch resumes.
